What PDF to Excel does
PDF to Excel pulls the tables out of a PDF and puts them into an XLSX workbook where the numbers can be sorted, summed and charted. Accountants receiving bank statements, buyers comparing supplier price lists and students working with published statistics all face the same problem: the data is locked in a PDF and copying it by hand is slow and error-prone.
The converter finds tables from the way text is laid out on the page, so it does not need visible grid lines; columns aligned left, right or centered are all recognized, and cell text that wraps onto a second line is joined back into one cell. Values are stored as real numbers, percentages, currency amounts and dates rather than text, with the decimal comma or decimal point read correctly from the document. Everything lands on one tidy sheet in reading order, with headings and paragraphs kept between the tables.
How to use PDF to Excel
- Open PDF to Excel and add your PDF by dropping it on the page or clicking to pick it (15 MB at most).
- Provide the password if the PDF is locked.
- Give the spreadsheet a name if you like; an empty field keeps the PDF's name.
- Click the PDF to Excel button to detect the tables and build the workbook.
- Download the XLSX file and check the figures in Excel, LibreOffice Calc or Google Sheets.
Features and options
- Tables without grid lines
- Columns are found from the empty gaps between them, which works for borderless reports and statements where many tools give up. Blocks of ordinary prose laid out in two columns are not mistaken for tables.
- Numbers you can calculate with
- Amounts such as 1.234,50 or 1,234.50, percentages, values with $, €, £ or ₺ and dates become real Excel values with a matching number format, so SUM and filters work right away. Negative amounts written in parentheses are understood too.
- Tables that span pages
- When a table continues on the next page with the same columns, it carries on in the sheet without the repeated header row, so a long statement stays one continuous list.
- Readable layout
- Each PDF page starts with a colored “Page n” band, header rows are styled, total and subtotal rows are highlighted, and group headings over several columns become merged cells.
- Text and pictures kept in place
- Headings and paragraphs between tables are written in reading order, and images from the document sit where they appear. The sheet is set up to print at page width with page numbers in the footer.
When it helps
- A small business owner turns a monthly bank statement PDF into a sheet to categorize expenses before sending them to the accountant.
- A purchasing manager converts three suppliers' price lists so the unit prices can be compared side by side with a formula.
- A researcher needs the tables from a published statistical report to build a chart for a presentation.
Tips and limits
- Tables are found from text positions, so always scan the result for merged or split columns, especially in dense tables with very narrow gaps.
- The tool reads the PDF's text layer. A scanned statement with no text gives an error; run it through the OCR tool first and convert the searchable PDF.
- The upload limit is 15 MB. If you only need a few pages of a long report, extract them with Split PDF to get a cleaner, smaller workbook.
- Formulas and cell references are not recovered, because a PDF only stores the printed result of a calculation.
Frequently asked questions
- Does every table get its own sheet?
- No. The whole document goes onto one sheet in reading order, with a “Page n” band at the start of each page. You can copy any table to a new sheet if you prefer them separate.
- Why is a number showing as text?
- Unusual formats, such as a number mixed with a unit or a note in the same cell, cannot be read as a value safely and stay text. Split them with Excel's Text to Columns or a quick formula.
- How does it decide between a decimal comma and a decimal point?
- It looks at all the numbers in the document's tables and at the document language. That is why a Turkish statement with 1.250,75 and an American report with 1,250.75 both come out as the right value.
- Can I convert a scanned invoice?
- Not directly, since a scan contains no text. Make it searchable with the OCR tool, then convert it, and double-check the values afterward.
- Are my financial documents stored?
- No. The PDF is processed on vupdf's own servers only to build your workbook and is deleted right after the file is delivered.
